Incoming correspondence is arranged alphabetically by the name of the person writing or sending the item of correspondence. All items within a correspondent's file are arranged chronologically. Unidentified letters are filed at the end of the alphabetical series.
File entries include names of organizations, such as publishing companies, literary agencies, or fundraising groups, especially when the individual who signed the letter did not figure prominently in Hemingway's life.
There are cross references (see also hyperlinks) provided in the following instances:
1. from organizations to individuals (or from individuals to organizations, depending on which is the major entry)
2. from individuals to other locations in the incoming correspondence where their names may appear either as addressees or in enclosures.
Each letter is described individually, and the elements of each description include as many of the following as possible and applicable:
1.
Name.
The fullest known expansion of the name is given. Any part that does not appear in some form on the letter(e.g. signature, letterhead, etc.) is placed in brackets.
2.
Identification.
A brief identification of the addressor appears in parentheses, following the name, on the first entry.
3.
Form
. An abbreviation indicating the kind of correspondence, such as handwritten letter, typed letter, cable, note, etc. (See list of
abbreviations
).
4.
Signature.
Handwritten signature, not typed or engraved. If the signature is the same as that appearing outside the brackets under "Name," above, it is not repeated here.
5.
Date.
If the date is not actually given in the letter but can be inferred from postmark information, contents, or other sources, this date is put in brackets.
6.
Place of Origin.
If the place where the item was written or sent from is not actually given in the letter but can be inferred from postmark information, contents, or Hemingway's date annotations, this location is placed in brackets.
7.
Addressee.
Noted only if addressee is not Ernest Hemingway.
8.
Pagination.
Number of sides on which there is text.
9.
Enclosures and Envelopes.
Descriptions as warranted.
10.
Copy Designation.
If the item held by the Kennedy Library is a copy rather than an original, this is noted, and the location of the original, if known, is given.
11. Other Description. Any other pertinent identifying information, such as notes by others, etc.
